After Order Generation: Tracking & Fulfillment in Shopify

Find your generated orders in Shopify, track fulfillment progress from the Send summary page, and understand how orders flow into your fulfillment pipeline.

When you generate orders, Send To Many creates two types of Shopify orders on your behalf. This happens regardless of which workflow you used (upload, checkout, or inquiry). Here's what gets created and where to find it.

Two Order Types

Every Send creates two types of Shopify orders:

Recipient Orders: One order per recipient, containing their shipping address and the products they're receiving. These are created by the Send To Many app and processed through the Send To Many payment gateway. They flow into your fulfillment pipeline and track individual shipments to each person.

Aggregate (Gifter) Order: A single order created from a Shopify draft order that captures revenue and payment for the entire Send. Because it originates as a draft order, it goes through Shopify's standard payment gateway (not the Send To Many gateway). This order uses custom line items instead of pulling from your product catalog, which prevents inventory conflicts. We tag it "Send to Many aggregate" and mark it "Does not require shipping." The aggregate order is where payment revenue lives, separate from the fulfillment that happens on the recipient orders.

Finding Your Orders

The easiest way to view your orders is through the Send summary page. After you generate orders, the page displays a View in Shopify button at the top. Click it to see all recipient and aggregate orders for that Send.

You can also search Shopify admin directly using the Send ID or recipient names.

Tracking Order Status

The Send summary page shows you fulfillment progress without leaving Send To Many. You'll see:

  • Fulfillment status for each recipient order (pending, partially fulfilled, fulfilled)
  • Tracking numbers as shipments go out
  • Overall Send progress: what's pending, in progress, and complete

Use this page as your control center. Refresh it to see live updates from Shopify.

Filtering in Shopify Reports

When you run Shopify reports, filter by the "Send to Many" tag to isolate your Send To Many orders. Every order created by a Send is tagged with "Send to Many #[Send ID]", so you can filter to a specific Send or to all Sends.

If you want to exclude aggregate orders from fulfillment views, filter by tag "Send to Many aggregate" or by shipping status "Does not require shipping".

Failed Orders

If some orders fail during generation, they appear in the Failed section of the Send summary. Each failed order shows an error message explaining why (invalid address, out of stock, etc.).

You can fix the issues and retry failed orders individually, or use the Bulk Retry button to regenerate them all at once.

Pause and Resume

For large Sends, you can pause order generation and resume later without losing progress. Any orders already created stay in Shopify. When you resume, generation picks up where it left off.
