Saved Import Formats
Save your column mapping after the first upload so you don't need to remap next time. Reuse import formats across manual uploads and inquiry form submissions in Shopify.
An Import Format is a saved column-to-field mapping that applies automatically to future uploads with matching headers. Import Formats work across both manual uploads and the inquiry form, so if you have a spreadsheet template you send to customers for their recipient lists, the same format applies whether you upload it yourself or your customer submits it through the inquiry form.
How They Work
When you upload a spreadsheet for the first time, Send To Many shows you a preview and asks you to map columns to fields (first name, last name, address, product, etc.). Once you confirm the mapping, we save it.
The next time you upload a spreadsheet with the exact same column headers, we recognize them and apply the saved mapping automatically. No remapping needed.
Import Formats are per store, not per user. Any team member in your store can use a saved format if the column headers match.
Creating an Import Format
You create an Import Format automatically when you upload and confirm a column mapping during the Send creation wizard. Nothing extra required: it saves behind the scenes.
Using a Saved Import Format
When you upload a new spreadsheet:
- We scan the headers in your file.
- If the headers match a saved Import Format exactly, we apply it automatically.
- You'll see the mapping pre-filled in the preview.
- Review and adjust if needed, then click Continue.
If headers don't match any saved format, we indicate which fields are unmapped. You map them (or skip the ones you don't need), and once confirmed, we save that as a new Import Format for next time.
Managing Import Formats
View, edit, and delete saved formats in Settings > Import Formats.
- View: See all saved formats and which columns each one maps.
- Edit: Rename a format or adjust field mappings.
- Delete: Remove a format you no longer use. (You can always create a new one by uploading a file with those headers again.)
Requiring a Specific Format with Send Presets
By default, any Import Format can be used with any Send. But if you have complex mapping schemas or multiple team members creating Sends, you can lock a Send preset to a specific Import Format.
In the Send preset settings, enable the Require specific import format option and select the format you want to enforce. When someone creates a Send with that preset, only files matching the required format will be accepted.
This is useful when you have detailed column mappings that need to be followed exactly, or when multiple users are creating Sends and may not be aware of the nuances in how columns should map. On plans that include users and permissions, staff users can't override this setting: they'll only be able to upload files that contain the columns defined in the required format.
